Finance Secretary

Northside Baptist Church is seeking a Finance Secretary to support our team by overseeing and managing the day-to- day financial operations of our church, academy and preschool ministries. This role is essential to ensuring faithful stewardship, accurate recordkeeping and smooth day-to-day financial administration across all ministries.

Minimum Qualifications:

-Minimum of a Bookkeeping Certificate or 5 Years Experience in Advanced Skills in Financial Reporting

-Payroll Management and Basic Taxation (Required)

-Experience with QuickBooks or similar accounting software such as Sage (Required)

-Experience with Excel, Word and/or Microsoft Office

-Strong organizational and record-keeping skills with attention to detail

-Strong computer skills demonstrating keypunch accuracy and ability to utilize a 10-key by touch

-Ability to maintain confidentiality and handle sensitive financial information with integrity

-Excellent communication skills for working with church staff, ministry leaders and financial committees

-Previous experience in nonprofit or multi-departmental financial management is a plus

Responsibilities:

-Receive and process all accounts receivables/income from multiple sources such as:

Church: Tithes and Offerings

Academy: Step Up for Students and Related Programs

Preschool: Self-pay Tuition and Episcopal Children’s Services Funding

-Accurately input funds utilizing the chart of accounts to the appropriate line item in QuickBooks.

-Ensure timely deposits are made as well as maintaining detailed records of same.

-Input accounts payable in QuickBooks. Process and pay invoices, bills and other financial obligations for all ministries.

-Reconcile bank accounts/investment accounts monthly in a timely manner to ensure all balances are accurate and up-to-date.

-Communicate and provide regular reports, as requested, by the church Treasurer and Finance Committee.

-Ensure that confidentiality, accuracy and compliance with established financial policies and procedures are met.

-Assist in preparing budgets, financial statements and year-end reports as required.

-Process payroll for all ministries.

-Maintain confidentiality, accuracy, and compliance with financial policies and procedures.

Compensation:

Compensation is negotiable and commensurate with experience and educational background

Schedule/Location:

  • Monday thru Friday (8:00 a.m. to 4:00 p.m.)
  • In-house position at Northside Baptist Church Campus

We are seeking a dedicated and skilled Executive Administrative Assistant to join our team and provide high-level administrative support to our pastors and executive leadership.

Position Overview

The Executive Administrative Assistant serves as the central support for the executive team, ensuring the smooth operation of schedules, communication, technology, and ministry coordination. This individual will work closely with pastors, directors, and ministry leaders to help execute the vision and mission of the church and its ministries with efficiency, organization, and professionalism.

Key Responsibilities

  • Provide direct administrative support to the pastors and executive team.

  • Manage schedules, calendars, appointments, and meetings.

  • Answer and direct phone calls, emails, and other correspondence.

  • Print, organize, and prepare sheet music and materials for the Worship Pastor.

  • Assist with technology setup, including email accounts and basic troubleshooting.

  • Create professional documents, spreadsheets, presentations, and reports using Microsoft Word, Excel, and PowerPoint.

  • Design flyers, graphics, and digital content using Canva.

  • Assist in event planning and coordination for church and school functions.

  • Prepare reports, forms, and documentation as requested by pastors.

  • Maintain confidentiality and professionalism in all aspects of the role.

  • Perform other secretarial and administrative duties as assigned.

    Qualifications

  • Minimum of 2 years administrative or executive assistant experience (preferred in a ministry or nonprofit setting).

  • Proficiency in Microsoft Word, Excel, and PowerPoint.

  • Working knowledge of Canva or other design software.

  • Comfortable using a Mac computer and learning new applications.

  • Strong organizational and time management skills with the ability to multitask.

  • Excellent written and verbal communication skills.

  • High level of professionalism, discretion, and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Alignment with the mission, vision, and values of Northside Baptist Church.
